Property Administrator

Duties and Responsibilities:

  • Responsible for building portfolio correspondence to and from clients, tenants and vendors as directed by Property Managers
  • Ensure all property files are prepared and maintained per operational standards, including leases and contracts
  • Manage Building Engines work order system
  • Obtain aging report on behalf of Property Managers and follow-up on all delinquencies, utilizing Davis or client-directed policies
  • Ensure invoices are processed with appropriate back-up and according to established procedures
  • Coordinate tenant requests for above standard work and manage tenant work orders
  • Responsible for aspects of development and maintenance of tenant anniversaries, holiday gifts, property events, and training meetings or programs for tenants
  • Ensure Certificates of Insurance for vendors are up to date
  • Manage tenant bill back process and procedures as required
  • Assist management team with annual budgets preparation, CAM reconciliations, and monthly financial reports
  • Assist with vendor contract procurement and document compliance
  • Help manage building needs in the absence of the Property Managers

Qualifications:

  • Knowledge of Yardi accounting platform a plus
  • 3 -5 years property management experience a plus
  • Previous customer service background

Requirements:

  • College degree
  • Demonstrate attention to detail
  • Ability to work independently, take ownership of work product and complete work within specified deadlines
  • Ability to work in a team environment
  • Knowledge of basic math skills
  • Excellent communication skills both written and verbal
